Marketing and sales workflow automation for busy teams

Build the follow-up once and let it run. EDCRM.AI sends the message, waits, checks what happened and hands the lead to the right person.

How a workflow is built

A workflow is a set of steps drawn on a visual builder. It starts with a trigger, which is the event that sets it off. After that come actions, placed in the order you want them to happen. You can read the finished workflow from top to bottom like a flowchart, which makes it easy to check and easy to change.

Nothing here needs a programmer. If you can describe your follow-up process out loud, step by step, it can usually be built. The harder part is agreeing what the process should be, and that is where we spend most of the time with new customers.

Triggers, actions and if/else branches

Triggers are events inside the platform. Actions are what the system does in response. An if/else step splits the path depending on what the contact did or what is on their record, so a customer who replied is treated differently from one who stayed silent.

  • Triggers include a form submitted, an appointment booked, a pipeline stage changed, a tag added, a payment received and a birthday.
  • Actions include sending a message, waiting for a set time, assigning a user, creating a task and updating a field.
  • Messages can go out by WhatsApp, SMS or email from the same workflow.
  • A webhook action passes data to another system, such as your accounting or ERP software.
  • WhatsApp messages sent outside the 24-hour window use Meta-approved templates and go only to contacts who have opted in.

Four automations most businesses start with

You do not need dozens of workflows. A handful of well-made ones cover most of the follow-up that gets forgotten on a busy day. These four are common starting points, and each can be adjusted to suit the way your business works.

  • New lead response: when a form is submitted, send an acknowledgement, assign a salesperson and create a call task.
  • Appointment reminders: when a booking is made, send a confirmation, then a reminder the day before and another an hour before.
  • Quotation follow-up: when a deal moves to Quote sent, wait two days, check for a reply, then nudge the customer or alert the owner.
  • Review request: when a payment is received, wait a day and ask the customer for a review.

Following up without chasing by hand

The wait step is what makes automation useful for sales. The system can pause for hours or days, then look at what has changed before deciding what to do next. If the customer has replied, the workflow stops and a person takes over. If not, it sends the next message or raises a task.

What to prepare before you start

A little preparation makes the build faster and the result better. Before our first session, it helps to have the following ready. None of it needs to be polished, and rough notes are fine. We will refine the wording together.

  • Write down the steps your team follows today from first enquiry to payment.
  • List the messages you send repeatedly, in the words you actually use.
  • Decide who should own leads from each source, branch or service.
  • Note where leads most often go quiet, because that is where automation helps first.

How Euro Digital builds and supports it

We map your process in a workshop, build the workflows and test each one with dummy contacts before it touches a real customer. WhatsApp templates are submitted to Meta for approval as part of the build. After go-live we review with you how the workflows are performing, adjust timings and wording, and train a member of your team to make simple changes.

Questions

Workflow automation: common questions

Do we need technical staff to manage workflows?

No. The builder is visual, and simple edits such as changing message wording or a wait time can be done by a trained team member. For new workflows or anything involving webhooks and other systems, Euro Digital's team builds and tests them for you as part of support.

Will automated messages feel robotic to customers?

They read the way you write them. We draft messages in your own tone, use the contact's name and details from their record, and keep them short. Workflows are also set to stop when a customer replies, so a person takes over the conversation at the right moment.

Can a workflow send WhatsApp messages at any time?

Within Meta's rules, yes. If the customer messaged you in the last 24 hours, the workflow can send a free-form reply. Outside that window it must use an approved template, and the customer must have opted in to hear from you. We set workflows up to respect both conditions.

Can workflows connect to our other software?

Yes. A webhook action sends data out to another system when a step is reached, and the API lets other systems push data in. Typical uses are passing a won deal to accounting software or receiving leads from a portal. Our team scopes each integration with you first.
