A CRM for training institutes and schools, enquiry to enrolment
Most enquiries arrive in a rush before each intake and cool within days. EDCRM.AI gives your counsellors one list to work from, reminds parents and students on WhatsApp, and shows how many enquiries became enrolments.
Where enrolment enquiries get lost
Picture an institute that runs ads before a new batch and gets a flood of enquiries in a fortnight. The counsellors call the first few dozen. The rest wait in a spreadsheet, and by the time anyone rings, the student has paid a deposit somewhere else. Interest was never the problem. Nobody could see who had been called, who asked for the fee structure and who promised to visit on Saturday.
Schools face a slower version. A parent asks about admission in October for the following year, tours the campus, then hears nothing until the form deadline. Decisions like these take months and involve two parents, sometimes grandparents. Follow-up has to be patient and organised.
How a typical week runs on the platform
Every enquiry from your website form, lead ads, WhatsApp, phone and walk-in QR code becomes a contact on the admissions pipeline. It is assigned to a counsellor straight away, with a task to call. The stages match your process: enquiry, counselling done, demo class or campus visit, application, fee paid. Each morning, counsellors open a list of who to call today instead of scrolling through chats.
Counsellor follow-up and batch reminders
Once a student enrols, the work shifts to getting them to the first class. A workflow can send the joining instructions, a reminder three days before the batch starts and another on the morning itself. Parents of school applicants can receive visit confirmations and deadline reminders. On WhatsApp, these use approved templates and go only to people who opted in. When a parent replies, your counsellor answers freely within the 24-hour window.
- Lead scoring moves students who opened the brochure and asked about fees to the top of the list.
- Booking pages let parents choose a campus tour or counselling slot themselves.
- Enquiries for a full batch can be tagged and invited first when the next one opens.
- Reports show enquiries, visits and enrolments by course, source and counsellor.
Online courses and student communities
If you teach online, the platform can host the course as well. You can build a membership area with lessons, sell it as a one-off payment or subscription, run a community group for each batch and issue certificates on completion. A webinar funnel works well for free taster sessions, and everyone who registers lands in the same pipeline as your other enquiries.
How Euro Digital sets it up with your admissions team
Euro Digital Technologies has operated in Abu Dhabi since 2016, with a delivery team in India, and is an official Meta WhatsApp Business Partner. We map your admissions process into pipeline stages, connect your forms, ads and WhatsApp number, prepare message templates for approval and build the reminder workflows. Counsellors and admissions staff are trained on the inbox and mobile app, and support continues after launch.
What to prepare before you start
A little preparation makes the first week easier, and your admissions head can gather most of it in an afternoon. Start with what you already have. The aim is to move your current process into the platform first, then improve it once the team is comfortable.
- List your courses or grades, intake dates, fees and seat limits.
- Collect the brochures, fee sheets and joining instructions you send today.
- Decide which counsellor handles which course, campus or age group.
- Export past enquiries from people who agreed to be contacted, so they can be invited to the next intake.
Education and training: common questions
Can parents and students reach us on WhatsApp through the platform?
Yes. Your business WhatsApp number connects to the shared inbox, so counsellors reply from one place and the history stays on the contact record. Messages you start, such as batch reminders, use Meta-approved templates and need opt-in. Replies to a parent's message within 24 hours can be written freely.
Can we collect fees through EDCRM.AI?
You can send invoices and payment links, take deposits at booking and set up recurring invoices for instalments. The platform connects to payment gateways, and Euro Digital will confirm during set-up which gateway suits your country and bank. A received payment can trigger the next step, such as the welcome message.
Does it replace our student information system?
No. EDCRM.AI covers the journey from first enquiry to enrolment, plus ongoing communication and marketing. Attendance, grades and timetables stay in your student information system. The two can exchange data through the API and webhooks if you want enrolled students passed across automatically.
We have several branches. Can each run its own admissions?
Yes. Each branch or campus can have its own pipeline, calendar and users inside one account, or its own sub-account. Permissions control who sees which enquiries. A set-up built for one branch can be copied to the next, and management can review the reports for every branch.
